Leasing Coordinator – DFW

We are looking for an organized and detail-oriented Leasing Coordinator to join our team. This person needs to be a team player and able to juggle multiple tasks simultaneously. This person needs to have a meticulous eye for detail and the ability to handle change.

RESPONSIBILITIES
Strategic Support:
- Collect weekly leasing updates and input data by suite into the Leasing Dashboard.
- Assist in follow-ups with third-party brokers and help organize engagement activities (e.g., coffee meetings, lunches, dinners).
- Ensure each tenant is contacted regarding renewals at least 30 days before lease expiration.
- Assist in developing and communicating rate, tenant improvements, and term plans for campuses to third-party brokers.
- Monitor the condition of each vacant unit and update the Leasing Dashboard accordingly.
- Serve as the point person between leasing and finance to maintain up-to-date balances of tenant improvements, capital expenditures, and leasing commissions by campus.
- Maintain a competitive database and assist in trend analysis (e.g., monthly trends in rates, downtime, tenant improvements, etc.).
- Gather comps and reach out to leasing brokers for feedback to support our underwriting.
- Assist with market profile updates.
- Participate in leasing meetings, taking an evolving role over time.
Administrative Duties:
- Manage the VP of Leasing’s calendar and schedule.
- Code and process Amex statements.
- Book travel arrangements.
- Assist with technology-related tasks, especially as leasing processes become more automated.
- Draft LOIs and leases and review leases for accuracy (dates, rent tables, NNNs, etc.).
- Attend kick-off calls and assist with budgeting processes.
- Maintain Leasing Commission and Tenant Improvement trackers.
- Assist with investor reporting.
On-Site Responsibilities:
- Regularly check vacant units to ensure they are in marketable condition.
- Meet potential tenants for property tours.
- Meet with current tenants to enhance relationships and explore expansion/renewal opportunities.
- Take interior photos and measure floor plans, as needed.
Marketing Support:
- Review third-party listings to ensure accuracy across platforms (flyers, rates, photos, etc.).
- Assist internal marketing teams with insights on how to best market each campus and unit.
- Create and maintain stacking plans, including square footage, tenant details, expiration dates, etc.
- Coordinate LinkedIn posts around vacancies or new leases.
REQUIREMENTS
- 3+ years of experience in commercial leasing.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Ability to adapt to change and handle a fast-paced work environment.
- Ability to work collaboratively as part of a team.
- High level of accuracy in managing data, documents, and financial information.
- Ability to build and maintain relationships with tenants, brokers, and team members.
- Willingness to adapt to evolving responsibilities and take on new challenges as needed.
